The distinction between an invoice and a receipt is one of the most frequently confused concepts in small business accounting — and getting it right matters for your records, your clients, and your taxes.

Invoice: Issued before payment. An invoice is a formal request for payment. It tells your client exactly what they owe, for which services or products, at what price, and when payment is due. Your business name, address, phone, and email establish who is issuing the document and give the client a way to contact you. Your logo adds professional credibility and brand recognition, even a simple, clean logo transforms a generic receipt into a branded business document. Including your client’s name and contact details is important for record-keeping, tax compliance, and in case of any disputes. For B2B (business-to-business) transactions, the company name and address are often required for the client’s own accounting and expense reimbursement. In Receipt mode, the “Bill To” section changes to “Received From” to reflect that payment has already been made.

Every invoice and receipt needs a unique document number for tracking, accounting, and tax filing. The generator pre-fills “INV-0001” or “REC-0001” — increment this number for each new document. In Invoice mode, you set both the invoice date and the due date. In Receipt mode, there is no due date (payment has already been made) — instead you see a Payment Method field showing how the payment was received.

The most important content of any invoice or receipt is the itemized list of what was sold or provided. Each line has a description, quantity, and unit price — the amount is calculated automatically.
